Learners and Groups
In B12, you cannot assign a program directly to a learner.
Instead, you must assign the program to a group. Then, you can enroll the targeted learners in the group to give them access to the program.
There are three ways to enroll learners in a group:
- Manual enrollment, which is preferred for existing users of the platform (users already imported by the B12 administrator).
- Enrollment in the group at account creation (see the procedure for Administrators; this method is not available for the Designer role in B12).
- Automated enrollment using a group enrollment link.
It is also possible to enroll a trainer in a group, which will give them access to the data of that group. See the bottom of the page for details. Note that this is the "Trainer role" in B12, but in reality, it could be a coach, an expert, etc..
Note that the manager's access to data is done outside the group (in the learner's profile). See the procedures for Administrators for more details.
Existing User: Manual Procedure
This method allows you to manually enroll in a group a user who has already created an account on the platform.
1. Click on the Members icon.
2. Click on the Groups tab.
3. Select the desired group.
4. In the Users section, click the + icon.
5. Select the desired users (you can check multiple boxes).
If you do not find the desired user, it means they are not registered on the platform. You can then generate a group enrollment link (see the following procedure).
6. Click Save.
Warning: if the option "Notify participants of program addition" was checked when configuring the group, participants added to a group containing a program will be automatically notified by email. If the group is empty, participants will be notified when the program is added.
Note
It is possible to allow a new user to register on the platform directly from the home page (see platform configurations for Administrators). In this case, even if it is a new user, you must manually assign them to the desired group (because the assignment is not done automatically).
Group Enrollment Link
This method allows you to generate a platform enrollment link that will automatically add new users to the desired group. This saves you from having to manually enroll new users in the group after registration.
Procedure Overview
- The B12 administrator generates a group enrollment link (see instructions below).
- The B12 administrator sends the link to the targeted new users.
- The new users click the link, then fill out the platform registration form. If the user already has an account in B12, they will not have to fill in the registration form.
- The users are automatically included in the chosen group.
Steps to Generate and Submit an Enrollment Link
1. Click on the Members icon.
2. Click on the Groups tab.
3. Select the desired group.
4. Click on the overlapping sheets icon to copy the group invitation link.
5. Provide the group invitation link to all desired persons (e.g., by email).
Add a Trainer to the Group
The added trainer will have access to all data of this group for this program. They will not have access to data from other groups or other programs followed by one or more learners.
In the Trainers section, click the + icon to select the trainer(s).
Only users with the Trainer role in B12 will be visible in the list.
