Sequences form the structure of the program. They are the container in which activities are hosted. On the homepage, each sequence will be visible and a "Start" button will allow access to the content when the time comes.
Once sequences and activities are created, each sequence can be associated with a date and thus scheduled over time. To inform the participant of the availability of the content on the day it is unlocked in their calendar, a notification will be sent.
When creating a sequence, you need to:
- configure it according to the desired settings, including the notification
- add an introduction and/or conclusion message (optional)
- add/create activities
- schedule the sequence in the calendar (can be done at any time once the sequence is created).
Create and configure a new sequence
1. Click the + Add a sequence button at the bottom left of the screen. A side panel will open on the right.
2. You must then specify:
- Sequence title
- Random question: If this option is enabled, all activities in the sequence will be presented in a random order each time and for each learner. Default: disabled.
- Ask for confidence level: For each question with feedback (quiz question), the confidence level will be automatically requested. Default: enabled.
-
Number of days to complete the sequence:
- A due date will be displayed on the program homepage (see screenshot below).
- After the specified number of days, the sequence will be considered late if not completed.
- The sequence remains available to learners.
- The only impact is a "Late" mention on the homepage, and engagement level statistics in the dashboard.
- Note that this due date can be adjusted for each group when the program is deployed according to a predetermined date (see this article to learn more about deployment modes).
Due date and "Late" mention on the homepage
Add or modify notifications
The notification will be sent by email, Teams message, text message, or a combination of all these means, depending on your platform configuration (see your B12 Administrator for more information). Depending on the chosen settings, participants may (or may not!) select the reception mode that suits them best. It may also be possible to unsubscribe from notifications in their B12 profile.
In the Studio, there is no difference whether the notification is sent by email, Teams message, or text message. The same message will be used in all cases.
If during program configuration you selected the option "Automatically send notifications for each sequence and event," each new sequence will contain two default notifications:
- Initial notification: on the same day, at 9 a.m.
- Late notification: 2 days after the sequence, at 9 a.m.
Important: you can adjust the text and sending time. However, there is no functionality to adjust them in "batch"; you must adjust one sequence at a time.
If you did not configure the program with the option to automatically send notifications, you can still add notifications to your sequences.
The initial notification is always on the same day the sequence becomes available. The text can be adjusted, and it is a good practice to personalize this message to maximize engagement and encourage learners to complete the sequence.
By clicking on Preview email, you can get a better overview of the message that will be sent.
The late notifications are only sent to those who have not yet completed the sequence.
They are scheduled based on the initial date, excluding weekends. So if the initial notification was on a Thursday, "2 days after the sequence" will fall on Monday.
You can add as many reminder notifications as you want. Note that there is no automatic link with the number of days to complete the sequence. You can decide to set a reminder as you wish in relation to this deadline (for example, one day before the deadline, or the day after).
💡 Note about the default language of notifications
Warning: default notifications appear in the language you are working in. If you want the default notifications to appear in English, you must change your profile language before creating the sequence.
💡 Note about notification time for different time zones
The participant receives the notification at the time of their time zone, according to the time zone they were in during their last login to B12. Example: a participant in Paris will receive a notification scheduled for 9 a.m. actually at 9 a.m. Paris time (and not at 3 p.m., because it is 9 a.m. in Quebec...).
Add an introduction and/or conclusion message (optional)
These texts do not constitute an activity in themselves. They allow you to introduce the contents and topics of the sequence in an introduction text and conclude a sequence with words of congratulations or encouragement and perhaps announce upcoming activities.
💡 B12 Best Practice:
Adding an image is highly recommended for the introduction message, to start the sequence well with a well-filled and inviting page.
Another good idea is to add the approximate duration of the sequence in this text.
Note that it can sometimes be easier to create the introduction and conclusion when the activities have been created and added to the sequence. This way, the content is more stable and it is easier to introduce and conclude it well. You can add and modify introductions/conclusions at any time during program design.
Add activities
The sequence structure now created, you need to add content to the sequence.
1. Click on + Add an activity
2. Select Create a new activity or Use an existing activity.
💡 B12 Tip
Depending on how you design the program, it may be easier to create activities as you go in each sequence. In this case, you can use the "Create a new activity" button and design your entire program from your sequences.
In other cases, it may be easier to create all activities in advance in the Activities tab, and then add them to the sequences. In this case, you can use the "Use an existing activity" button.
It's up to you to see what is most efficient in your context.
If you select the Use an existing activity option, a side panel will open.
Note: By default, only unused activities will be displayed.
1. Use the search bar to find the desired activities (filter by type, topic, difficulty or label).
2. Select the activity or activities to insert into the sequence. Note that you can select more than one activity at a time!
If you select the Create a new activity option, see the article Create activities to learn more about these steps.
Reorder activities in a sequence
Drag and drop activities in the sequence using the 6 dots to the left of the title to get the desired order.
Remove an activity from a sequence
1. Click on the sequence title to reveal the activities it contains.
2. Click on the three dots related to the activity, then on Remove.
Warning, the activity will not be deleted, it will still be available in the Activities tab (without the "Used" mention). You can reinsert it into any sequence.
Schedule the sequence in the calendar
When you create a new sequence, an icon will appear and a message "Not assigned in scheduling" will be visible on mouse hover.
On the Overview tab, you will also see the following message: "Some sequences are not scheduled".
Each sequence must be scheduled in the calendar to facilitate deployment logistics in groups.
1. Use the 6 dots on the left of the sequence to drag and drop it to the desired place in the calendar.
The scheduled day will appear at the end of the sequence title, and the sequence will now be visible in the calendar on the right. If the sequence has a due date over several days, this will also be visible in the calendar as lighter sequences on each day.
💡 The display order of sequences in the left panel follows the order defined in the calendar on the right. If you want to move the sequence in the left panel, you must adjust its position in the calendar on the right.
However, this scheduling is only a generic template that will serve as a model for group scheduling. It can be temporary and adjusted later during deployment in groups. To learn more, see the article Create a template calendar in the Studio.
Basic operations
Settings
Allows you to modify the sequence configuration:
- title
- settings
- number of days to complete
- notifications
Preview
Allows you to view a sequence with all its activities in the same way learners will see them.
Duplicate
Allows you to duplicate a sequence in the current program or in another program. You can select:
- Only duplicate the sequence structure (title, configuration, notifications, introduction and conclusion messages), or
- Duplicate the structure AND all activities.
If you duplicate all activities, copies of the activities will be created. The word (Copy) will be added before the title to help you differentiate them.
Remove all activities
Warning, this does not delete the activities. They will still be available in the Activities tab (without the "Used" mention), and you can insert them again into a sequence of your choice.
Remove from scheduling
If you just want to change the scheduling day, you can move the sequence in the calendar to the desired place. Use this operation if you want to remove the sequence from scheduling, so it will no longer be available for deployment in all groups, ongoing and upcoming.
Delete
The entire sequence structure will be deleted, but the activities will not be deleted. They will still be available in the Activities tab (without the "Used" mention), as with the "Remove all activities" option.
Sequence information
Under the sequence title, two pieces of information are shared
- The number of activities (excluding introduction and conclusion)
- The difficulty coefficient
For reinforcement, it is recommended that the difficulty level of sequences increases over time. To learn more, see The foundations of B12 and The difficulty level of questions
The difficulty coefficient is calculated for feedback questions (quizzes) as follows:
- difficult question = 3 points
- medium question = 2 points
- easy question = 1 point.
The coefficient is the average score for the sequence.
The number should therefore progressively increase from one sequence to another in a reinforcement program.
